Perma Dry Michigan is looking for an organized, professional, and dependable Office Administrator to support daily office operations and customer communication. This position plays an important role in keeping schedules, estimates, repairs, customer follow-ups, payments, invoices, permits, and dispatching organized and running smoothly.
The Office Administrator is often the first point of contact for customers, so strong communication skills, attention to detail, and a helpful attitude are essential. This role requires someone who can manage multiple tasks, communicate clearly with customers, crews, inspectors, municipalities, and office staff, and help ensure each job moves through the process efficiently from first call to completion.
Responsibilities
- Answer incoming phone calls and respond to customer inquiries professionally
- Schedule estimate appointments, repair appointments, and follow-up visits
- Coordinate scheduling between customers, inspectors, sales staff, and production crews
- Follow up with customers regarding estimates, approvals, questions, and next steps
- Send invoices, payment requests, and customer documents as needed
- Collect and process customer payments
- Assist with permit preparation, paperwork, and submission requirements
- Communicate with municipalities, inspectors, and customers regarding permit-related items
- Dispatch crews and communicate job details, schedule updates, and changes
- Maintain accurate customer records, job notes, estimate details, and scheduling information
- Communicate with field crews regarding job status, customer concerns, materials, and completion updates
- Assist with general administrative duties and daily office organization
- Provide professional customer service throughout the entire customer experience
Qualifications
- Office administration, customer service, dispatching, or scheduling experience preferred
- Strong phone and written communication skills
- Ability to stay organized and manage multiple tasks at once
- Comfortable using computers, email, scheduling software, and office systems
- Attention to detail with paperwork, invoices, permits, and customer information
- Professional, dependable, and able to work well with a team
- Ability to communicate clearly with customers, office staff, field crews, inspectors, and municipalities
- Experience in construction, home services, or service-based scheduling is helpful but not required
Work Environment
This is a remote-based position with some in-person days required, typically 1–2 days per week or as determined by business needs. The Office Administrator supports residential and commercial basement waterproofing, crawl space repair, sump pump, exterior drainage, and foundation repair projects.
The role involves frequent phone communication, computer work, scheduling coordination, customer follow-up, permit preparation, dispatching, payment collection, and administrative support for both customers and field crews.
